Connected Rental: data that improves fleet performance

A vehicle off the road, disputed damage or a vehicle return managed with incomplete information can quickly erode a contract’s profitability. In vehicle rental, value depends on more than vehicle availability: it depends on understanding how vehicles are used, taking action at the right time and turning operational data into decisions with measurable outcomes.

For rental and leasing companies, telematics provides an infrastructure that connects vehicles, drivers, service networks, insurance processes and the customer experience. The result is more precise risk management throughout the vehicle’s lifecycle.

Vehicle rental: from reactive management to operational visibility

Traditionally, many decisions in vehicle rental are made after an event has occurred: a customer reports a breakdown, a vehicle is not returned on time, a reimbursement request arrives or an insurance claim is opened. This approach creates costs that are difficult to predict and slows down customer interactions.

Telematics data makes it possible to change this perspective. Mileage, journeys, location, anomalies and crash dynamics can provide an up-to-date view of fleet status. The aim is to make relevant indicators available to operations teams, fleet managers, claims managers and insurance partners. The difference becomes clear in everyday processes. Maintenance can be scheduled according to actual vehicle usage rather than standard intervals. Unusual usage can trigger a timely check. In the event of a crash, the associated data helps establish what happened more objectively and initiate assistance and claims handling workflows more quickly.

The data that influences costs, risk and service

An effective telematics programme for vehicle rental must connect information to business outcomes. Vehicle location, for example, can support vehicle recovery and the management of operational exceptions. Driving data can help identify behaviours associated with greater risk exposure, informing prevention programmes or targeted driver communications.

Automatic crash detection is another source of value. Shortening the time between an incident, assistance and claim initiation improves the user experience and reduces uncertainty for the operator. Data quality is critical: an alert without context can increase the operational workload, while an event enriched with crash dynamics, timing and vehicle information enables more effective assessment.

The vehicle return process can also become more transparent. With reliable data on mileage and usage, operators have an objective basis for checking compliance with contractual terms and addressing potential disputes. This does not remove the need for clear procedures and fair dialogue with customers, but it reduces the grey areas that delay contract closure.

Integrated technology, not isolated data

The value of telematics grows when devices, data platforms and operational applications work together. A fragmented solution may provide extensive information, but often requires manual work to turn it into action. For a rental operator with a diverse fleet, this complexity translates into longer processing times, inconsistent data and reduced scalability. An end-to-end ecosystem, by contrast, enables the integration of traditional telematics sources and new connected data sources, adapting services and interfaces to different business models: long-term rental, short-term rental, leasing, car sharing or corporate fleets. Fleets have different objectives. A logistics fleet may prioritise operational continuity and vehicle utilisation; an urban fleet may focus on damage, parking and vehicle turnover; premium rental may place greater emphasis on the quality of the customer experience.

Technology must therefore be designed around use cases, the indicators to be monitored and the decisions teams need to make. OCTO brings experience built on more than 610 billion kilometres analysed and over 13 million crashes detected: a scale that enables a deeper understanding of real-world risk and its translation into practical services.

Connected rental builds a more continuous customer relationship

Vehicle rental is evolving from simple access to a vehicle into a mobility service. In this transition, data can support more flexible offerings, context-aware communications and engagement programmes based on actual usage. However, personalisation must remain understandable to customers and sustainable for operators: more data does not automatically mean more value.
